How to use CoreView Management Actions (New UX)

This article will cover how to use management actions in CoreView. Management actions are common actions performed by administrators. 

 

Management Actions Overview 

 

CoreView management actions allow you to administer your Microsoft tenant in a supercharged form. Following this guide, you will learn what CoreView management actions are, how you can use them, and some tips and tricks to boost your productivity in managing users, groups, and much more. 

 

CoreView allows you to perform management actions from different sections of the platform. You are able to run a management actions 

 

  • From the Management actions list, 
  • From the user or group cards, 
  • From the reports. 

 

Performing actions from each of these sections has advantages and disadvantages. For example, when you are seeking to run a set of tasks on a single user or group it might be best to run all the actions from the user or group card. Conversely, when you need to identify a group of items running a complex query to run a single management action on, it’s better to do it straight from the report.  

 

Note: Before you can execute any management action, you must ensure that your ‘Management session’ is enabled. To check whether your session in enabled or not, you can look at the top right banner. If it says ‘Management OFF’ you need to enable it by clicking on the ‘Management OFF’ tab and proceed by selecting the ‘Turn on management session’ button in the bottom right. If you try to perform a management action when the session is not enabled, a popup will notify you that you need to enable it first. In case your tenant is configured with ‘Advanced management’, you don’t need enable the management session.

Note: The set of management actions that an operator can access may be impacted by the permissions assigned by a tenant administrator.  If, as an operator, your access to any management actions has been restricted, you will only be able to see those actions for which you have permissions.  

 


How management actions are categorized 

 

Understanding how CoreView management actions are categorized will help you find the action you need faster. The same categorization is applied in the ‘Management actions’ list and in the ‘Manage’ panel in in reports and in the user and group card.

  • Users - Operators can manage the entire lifecycle of a user, including the creation of new accounts, the assignment of licenses, performing password resets, and managing multi-factor authentication (MFA). Moreover, you can perform many of these tasks in bulk. 
     
  • Distribution groups - Using this Management Action, you can create new Distribution Groups, update existing groups, and manage your existing groups' members.  These are excellent candidates for delegation. 
     
  • Microsoft 365 groups - You will be able to create new Groups, update existing groups, and manage the members of your existing Groups. These are excellent candidates for delegation. 
     
  • Security groups- You will be able to create new Groups, update existing groups, and manage your existing groups' members. These are excellent candidates for delegation. 
     
  • Mailboxes - Provides you with broad administrative capabilities to effectively manage user mailboxes. You can create or remove mailboxes, assign or adjust quotas, assign or revoke permissions, implement SendAs rights, add or remove a litigation hold, etc. 
     
  • Mail contacts - These actions allow you to create a new Contact, edit a Contact or remove a Contact. 
     
  • Devices - This allows you to manage devices, including devices that you may have quarantined, and all your Endpoint manager/Intune devices.  
     
  • On-premises - You can create and edit new users, distribution groups, and security groups.  
     
  • OneDrive - Make the management of OneDrive easier with these Management Actions, which allow you to manage OneDrive owners, set OneDrive quotas, and pre-provision OneDrive for new users. 
     
  • SharePoint - Site administrators can add or remove individual or multiple users in bulk, remove sites, recover a deleted site, or permanently delete a site. 
     
  • Teams -  You will be able to create new Groups, update existing groups, and manage your existing groups' members. 

 

Additional management actions that are available: 

  • Custom actions - Custom actions are Management Actions designed, programmed, tested, and implemented by a tenant administrator.  


  • Workflows - Workflows are a special feature available on CoreView that lets you automatically perform a set of different management actions, composed into a unique flow by a tenant administrator.


How to execute a management action from the Management actions list 

 

In the left navigation menu expand the ‘Actions’ category and select ‘Management actions.’

In the ‘Management actions’ list page you can see two main parts:  

 

  • Filter assistant – This panel is located on the left. This is where you can search for management actions. 
  • Management Action table – This panel is located on the right. Here you will see the list of management actions and their descriptions.  

 

You can filter the management action ‘by activity’ or ‘by category’. You can also use the search bar on top of the table to look for the action you need to execute, just try to type the action name or some keyword related to that action.  

 

To execute an action, click on the action name or use the ‘Run’ command in the (…) dropdown.

From the column of the management actions table, you can pin or un-pin an action. Pinning an action is a great way to boost your productivity and make the actions you use the most, easier to find. Pinning an action will make it appear at the top of the table and will highlight the action when you haven’t selected any filter. Your pinned actions will also appear in the ‘Manage’ panel in reports and cards; so, they are always readily available. 

 

How to execute a management action from the user or group card 

 

You can access user or group cards by clicking on users’ ‘Login name’ or on a groups’ ‘Name.’  

 

A user card includes shortcuts to most common actions you need to perform on users. These commonly used actions are embedded in the various widgets and in the user card’s tables. In the right ‘Manage’ panel you can find all the management actions you can execute on that user.

A group card includes shortcuts to most common actions, embedded into the ‘Group detail’ section and in the ‘Members and owners’ table. In the right ‘Manage’ panel you can find all the management actions you can execute on that group.

Note: The management actions that you are allowed to perform depends on the permissions associated to the account you are using and the recipient type or the group type. 


How to execute a management action from a report 

 

You can perform management actions from most CoreView reports. To run a management action from a report, follow these steps: 

 

  • Select the items you want to run the management action on using the checkboxes in the first column.  
  • The right ‘Manage’ panel will automatically open, showing the management actions you can perform on the selected items. 
  • Select the action you wish to perform on the selected item(s).  

 

Note: When selecting multiple items, the ‘Manage’ panel will show you only the management actions that you can perform on all items. If you don’t see the action you are looking for, review the selection as some actions can only be performed on single items, or on items that have certain properties in common i.e., you can run the ‘Edit user property’ actions on multiple users only if they are all of the same kind - OnCloud, synchronized, or OnPremises.
